Quotation

Customers always compare several outfits. The one that sends a quotation as a file with a valid-until date looks more credible than the one that answers with a LINE message — and you can put a deposit QR on the same sheet.

Receipt / cash bill

Customers in housing estates and company customers usually ask for a receipt when they pay. Writing out a bill book by hand at the job is both slow and hard to read; issuing it from your phone and sending it into LINE is finished faster.

A worked example of the sums

A real worked example: cleaning 3 air-con units, taking a 30% deposit

Suppose you quote for cleaning 3 wall-type air-con units at 600 baht each, plus a refrigerant top-up on 1 unit at 800 baht, with no VAT charged because the business is not yet registered for VAT.

  1. Air-con cleaning = 600 × 3 = 1,800.00 baht
  2. Refrigerant top-up = 800 × 1 = 800.00 baht
  3. Grand total = 2,600.00 baht
  4. Deposit of 30% = 2,600 × 30% = 780.00 baht
  5. Left to collect on the day of the job = 2,600 − 780 = 1,820.00 baht

The unit prices are invented numbers, purely to demonstrate the method — they are not a market standard rate. Put in your own real prices, and if your business is already registered for VAT, turn on the 7% VAT option in the tool so the totals match what you have to issue a tax invoice for.

Frequently asked questions

What has to be on a technician's quotation?

At a minimum it should have the name and phone number of whoever is quoting, the customer's name, the list of work with quantities and unit prices, the total, the date of issue and the date the price is valid until. If you are taking a deposit, state the deposit amount and how to pay it on the same sheet. Our quotation tool puts all of this in and runs the document number on for you automatically.

How much of a deposit is the right amount to take?

There is no fixed number and the law does not set one. Many technicians work it out from the cost of what they have to buy in advance — parts or materials, for example — and then add part of the labour. What matters more than the number is stating clearly in the quotation how much the deposit is, what it covers, and in which cases it is or is not refunded.

How do I chase payment without losing the customer?
