Customers who are companies, fellow shops, or government agencies usually ask for a quotation before they decide. Most small shops solve this by going and downloading a quotation excel file to edit, where the document number is often duplicated, the total is often typed wrong, and the file goes missing when you change computers. This tool lets you fill in your shop name, the customer's name and the items, and then you get an A4 quotation that does the calculation for you.

The system runs the document number on for you continuously on your own machine, works out the discount and VAT 7% (added on top or included in the price) correctly down to the satang, fills in the price validity date as a Thai date automatically, and if you take a deposit, you can put a PromptPay QR specifying the deposit amount right into the document. The customer can scan and pay the moment they agree.

Frequently asked questions

How is a quotation different from a receipt?

A quotation is offering a price before a sale is agreed; no money has been paid yet. A receipt is issued after the money has been received. The document from this tool will always say quotation, and it will not turn into a tax invoice even if you fill in a taxpayer ID number and turn VAT on. Once the customer agrees and has paid, go and issue a receipt with the receipt tool.

How is the price validity date calculated?

It counts from the date the document is issued in Thailand time, forward by the number of days you choose, and holds until the end of that day. For example, issued on 21 Aug. with 7 days' validity, it holds until the end of 28 Aug. You can adjust the number of days yourself from 1 to 365 days.

How do I put in a QR for the deposit?

Choose whether the deposit is worked out as a percentage of the total or given as an amount in baht, then fill in the shop's PromptPay number. The system will create a QR with the deposit amount already specified and place it into the document for you. We recommend that you scan it and check the payee name with your own bank app every time before sending it to the customer.

Can VAT be charged included in the price or separately?

Both are possible. You can choose no VAT, charged separately from the price, or charged as already included in the price. The system will show the tax base and the VAT amount on separate lines so the customer can see clearly where the numbers come from, not just one single lump total.

What is the best way to send the quotation to the customer?

If you are talking on LINE, press save image as PNG and send the picture into the chat, because the customer can open it straight away on their phone. If the customer is a company and asks for a document, press print and then choose save as PDF in the browser's print window.
