room rent bill · rent invoice · charging water and electricity by the meter

Most owners of rented rooms, shophouses or market stalls issue their bills on a note pad or in a LINE message, which works fine until someone asks why the electricity is up this month and then nobody has any numbers to show. This tool makes one bill per room per month: put in the rent, the water, the electricity, the common fee and any other items there are, then print it or send it into LINE as an image.

What is different from writing it by hand is that this bill shows the working for the water and electricity on the paper: the previous meter reading, this reading, the units used, the rate per unit and the amount that comes out. So the tenant can add it up themselves instead of just having to trust you, which is the cheapest way there is of not having an argument at collection time.

Frequently asked questions

How do I charge water and electricity by the meter so the tenant can check it?

Put in the previous and this meter reading and the rate per unit you agreed on. The system works out the units used and multiplies them by the rate, and prints all five numbers on the bill: the previous reading, this reading, the units, the rate per unit and the total. So the tenant can walk over and look at the meter face and check every line themselves, without asking where the amount came from.

What happens if this meter reading is lower than the previous one?

The system will not charge anything and puts a warning message on the bill to check the reading first, because there are two ways this really happens: the meter rolled around and started again, or the meter was changed for a new one. Both need a person to look at them, so we do not guess for you, because guessing means making up an amount the tenant has to pay.

Can this rent bill be a tax invoice?

No, and the bill will not have the words tax invoice on the page under any circumstances. A tax invoice can only be issued by someone registered for VAT and it has a form laid down by law, and we have no way of knowing whether you are registered yet. So this bill is a document stating the amount, and is only for use as evidence of money received between the landlord and the tenant.

Can I make bills for several rooms at once?

For now it is one bill at a time. Fill in the first room and print it, then press the next bill button. The system moves the bill number on for you and clears the tenant name and the meter readings, while keeping the landlord name and the rate per unit, so you do not have to type those again on every bill.

Can I add a QR code for the tenant to scan and pay?

Yes. Put in your PromptPay and the system creates a QR code with that bill's total specified inside it. The tenant scans and the amount comes straight up, no typing the numbers in, so there is none of the paying too little or too much that you have to chase up afterwards.
